GST Application Query or Rejected? REG-03 Reply Guide
Quick answer

Form GST REG-03 is an officer's notice asking for more information about your application. Reply in Form REG-04 within 7 working days. If you miss the deadline or the reply does not satisfy the officer, the application can be rejected in Form REG-05, and you will usually need to apply again.

A query is common and does not mean you have done anything wrong. Most relate to documents or the business address, and a clear reply usually resolves them.

Common reasons for a query

ReasonWhat usually helps
Address proof is unclear or does not matchRecent bill and an agreement or consent letter that show the same address
Photo of premises missing or weakClear photos of the signboard, entrance and workspace
Business activity is vagueA short description, plus the correct HSN or SAC codes
Name mismatchMatch the name exactly to PAN records
Bank details not verifyingCancelled cheque or statement showing the account holder and IFSC

How to reply

  1. Log in to the GST portal and open the notice under your application.
  2. Read exactly what the officer has asked.
  3. Prepare documents in the allowed size and format.
  4. Submit REG-04 using your DSC or EVC, and save the acknowledgement.

Answer exactly what is asked. Long replies with unrelated documents can lead to more questions.

Timelines

  • The officer generally acts within 7 working days of your application.
  • Where Aadhaar authentication is not completed, or where the system marks risk, physical verification can extend this to 30 days.
  • Biometric authentication at a facilitation centre may apply in some states and cases.

Small taxpayers may be eligible for the simplified route under Rule 14A, in force from 1 November 2025, if their monthly output tax stays within ₹2.5 lakh. Check the conditions before you apply.

If your application is rejected

You can fix the problem and apply again, or appeal in suitable cases. Before reapplying, correct the cause, or you may be rejected a second time. Our GST registration service includes officer queries, and you can see which address proof to use in our address proof guide. Check the eligibility first using our free tool.

Frequently Asked Questions

Q1. What if I miss the 7 working day deadline?

The application can be rejected. You would then usually apply again with the correct documents.

Q2. Can I edit my application after submitting it?

Generally, you respond through REG-04 and can change only what the system allows while replying.

Q3. Will an officer visit my address?

A physical verification is possible, especially where Aadhaar is not authenticated or the system flags risk. Keep the premises and documents ready.

Q4. Does a rejection affect a new application?

You can apply again, but fix the original issue first. A prior rejection may attract closer scrutiny.
